KÄMP COLLECTION HOTELS MARCH 13th, 2020 - Updated 7.4.2020

In our press release of March 20, we announced that we will have to adjust our operations due to the severe decline in demand caused by the COVID-19 virus. The adjustment involves closing our eight hotels as follows:

24.3: Klaus K Hotel

25.3: Hotel St. George, Hotel Haven, Hotel Lilla Roberts, Hotel Fabian, GLO Hotel Art, GLO Hotel Sello

1.4: GLO Hotel Airport

The hotels will be closed for the time being and will be opened as soon as demand returns to an adequate level. The hotels are currently closed until 31.5.

We will keep Hotel Kämp and GLO Hotel Kluuvi open, and these hotels will make extensive arrangements to prevent staff or guests from being exposed to the virus.

If you have a reservation in one of the hotels to be closed between 24.3 and 31.5 you do not need to do anything, we will contact you before your arrival date. We strive to have all existing bookings placed in our open hotels.

CANCELLATIONS OF RESERVATIONS FOR THE PERIOD 16.3 - 31.5.2020

On 16th March 2020, the Finnish government announced that Finland was in exceptional circumstances due to the COVID-19 virus and enacted a nationwide standby law until 13 April 2020. On March 30th, the government decided to continue the restrictive measures until May 13th, 2020. Due to this situation, we will update our cancellation policy as follows:

The following cancellation policy applies to bookings with stays between 31.3 and 13.5:

Reservations made with Flexible rates

Bookings made directly with the hotel, Reservations office or the hotel's own website at flexible rates and cancellation policies: you can cancel the booking free of charge by 4 pm on the day of arrival.

Reservations made with Non-refundable Advance payment rates

Advance payment reservations booked before 6.4.2020

If you do not want to transfer your Advance payment booking made prior to 6.4.2020 to an alternative date but would like to cancel it, we will refund the prepayment to the Kämp Collection Hotels gift card. The gift card is valid for 12 months from the date of issue.

The following conditions apply to closed hotels:

You can transfer your reservation free of charge and book any time until 31.12.2020 subject to hotel availability. If you have a prepaid booking in one of our closed hotels before 31.5 and you do not want to transfer the booking, you can cancel it. In this case, we will refund your prepayment to the Kämp Collection Hotels gift card. The gift card is valid for 12 months from the date of issue.

If you have made your booking through an online travel agent (Booking.com, Expedia or any other online travel agent), you must transfer or cancel your booking through the same online travel agent.

Advance payment reservations booked after 6.4.2020

If you have booked an Advance payment reservation after 6.4.2020 through any booking channel or for any period of stay and would like to cancel it, we will not refund the prepayment you paid. However, for bookings made directly through the hotel's own booking channels (Reservations office, Front desk or website), you have the option of postponing the booking once free of charge. Please note that a changing the date of stay may have an effect on the price of the reservation.

Group and meeting reservations

You can cancel group and meeting bookings free of charge no later than 3 working days before the arrival date. You can also transfer your reservation free of charge and book any time until 31.12.2020 subject to hotel availability. Please note that a change of time may have an effect on the price of the reservation.

If you wish to change a reservation already made, please contact our sales service or directly to the hotel where the reservation was made.

Cancellation Policy for periods of stay after 31.5.2020

For the time being, we are applying the following cancellation terms due to the special situation caused by corona virus. Please note that if you have made the reservation through a 3rd party or a travel agency, please contact them to make changes to your reservation or to apply for a refund. 

We apply the following conditions to Individual reservations, Group Meeting & Events bookings:

Individual Reservations

Individual reservations made directly with the hotel or with the Reservations department or through hotel’s own web pages, Kämp Collection web pages, Nordic Choice or Nordic Hotels & Resorts web pages from countries with travel ban, can be cancelled without any charges. 

Individual reservations made directly with the hotel or with the Reservations department or through hotel’s own web pages, Kämp Collection web pages, Nordic Choice or Nordic Hotels & Resorts web pages from countries with no travel ban, will be charged according to regular cancellation policy. You may find the terms and conditions in your booking confirmation.

Group and Meetings & Events bookings

Group bookings and Meeting & Events bookings can be cancelled according to cancellation policy.

In case where the agreement includes a mutual force majeure-clause listing specific force majeure-events or circumstances – and epidemic and pandemic disease is mentioned as such an event or circumstance – the Corona outbreak may be regarded as a force majeure-event.

In case where the agreement includes a mutual force majeure-clause listing specific force majeure-events or circumstances – and epidemic and pandemic disease is not mentioned as such an event or circumstance – the Corona outbreak will not be regarded as a force majeure-event unless the authorities has announced prohibitions/bans preventing the customer from staying at the hotel or carrying out or attending events at the hotel (please note that recommendations and/or guidelines from the authorities are not considered to be a valid force majeure-event).

*The prohibition announced by the Finnish authorities on March 11, 2020 against holding public gatherings and public events does not per se apply to the daily operations of the hotel (i.e. letting of rooms, breakfast, dinner etc.) but to such events with more than 500 participants which are addressed to the public. For now, private gatherings or corporate events (e.g. conferences not addressed to the public) are not affected by the ban.

In case where the agreement includes a mutual force majeure-clause with a general wording (not including a list of specific events or circumstances), the Corona outbreak will not be regarded as a force majeure-event unless the authorities announces prohibitions preventing the customer from staying at the hotel or carrying out or attending events at the hotel (please note that recommendations and/or guidelines from the authorities are not considered to be a valid force majeure-event).

In cases where the agreement includes a one-sided force majeure (for the benefit of the hotel) or if the agreement with the customer is silent, the customer cannot invoke force majeure.

 

Safety procedures at our hotels 

All hotels within Nordic Choice Hospitality Group follow the recommendations, advice and instructions being issued by the health authorities in the six countries where we operate. We are carefully following the development of the recommendations issued by the health authorities and are updating our procedures accordingly.

We are extremely vigilant and strictly adhere to safety instructions to ensure the health of our customers and staff. Our facilities and services are safe for our guests as we strictly follow the instructions and regulations set by the authorities.

In case a situation arises, in which a guest or employees is suspected of being infected with the new corona virus (COVID-19), we will follow the instructions issued by the health authorities. We also have an agreement with a security company that can provide advice to the hotel management in such a scenario.

Procedures to minimise and manage the risk of infection:

  • All hotels adhere to a central action plan to deal with any case(s) of infection.
  • We have received specific advice from our security company about how we should act as a hotel operator.
  • Employees have been instructed on how best to deal with the current situation and how they can avoid becoming infected.
  • We abstain from shaking hands, and avoid situations in which we could be exposed to people sneezing, coughing or similar.
  • We have increased the use of antibacterial spray and hand sanitizer.
  • We encourage our employees and guests to be extra diligent with hand hygiene.
